The Vocations Office is seeking a highly organized, detail-oriented, and professional Part-Time Administrative Assistant (*20-25 hours per week) to provide confidential administrative support to the Vocations Director and the Permanent Diaconate Vocations Director. This position is essential to advancing the Church's mission of fostering priestly and diaconal vocations through outstanding administrative support, effective communication, and event coordination. Essential Responsibilities
Administrative Support
- Provide comprehensive and confidential administrative support to the Vocations Director. Assist the Permanent Diaconate Vocations Director with administrative and clerical responsibilities.
- Perform daily office operations including filing, data entry, document preparation, recordkeeping, and general office duties.
Communication
- Respond promptly to emails and other correspondence.
- Serve as the first point of contact for visitors and inquiries, directing individuals to the appropriate staff member as needed.
Candidate and Seminarian Records
- Manage confidential application files for Permanent Diaconate and seminary candidates with accuracy and discretion.
Event Coordination
Provide vocation-related events throughout the year, including: Ordination Receptions, Vocations Gala, Vocations Picnic, Discernment event
Communications and Publications
- Prepare and submit event information for publication on the Vocations Office website and social media platforms.
- Assist with promoting vocation events and initiatives through digital communications, parish communications, and printed materials.
Qualifications
- High school diploma required; associate degree or equivalent administrative experience preferred. Strong written and verbal communication skills.
- Two or more years of administrative or office support experience preferred. Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive information.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and general office technology. Experience with social media platforms and website content management is preferred.
- Ability to manage multiple priorities, work independently, and meet deadlines. Event planning or coordination experience is a plus.

Schedule
